Who are we?

Charlatan Publications Inc is responsible for producing the Charlatan, Carleton University’s independent student newspaper — a locally-run, not-for-profit in Ottawa that has been publishing for more than 75 years, providing news for students and the Carleton University community.

Job Description: Office Administrator

The Charlatan Office Administrator is a versatile part-time (15 hours per week) position with influence in many aspects of our business. The Office Administrator will have a close relationship with the board members and Editor-in-Chief and be involved in fundamental advances to the business. Responsibilities include, but are not limited to:

  • Liaising between the Charlatan Editorial Staff and Charlatan Board of Directors;
  • Managing office clerical duties including phone, mail, supplies, banking and other administrative tasks;
  • Bookkeeping responsibilities including accounts payable and receivable, and meeting with the Charlatan’s professional bookkeeper on a regular basis;
  • HR responsibilities, including maintaining employee files, payroll, and contracts;
  • Financial and banking responsibilities;
  • Reporting to both the Chair and Editor-in-Chief, providing support to both, when required;
  • Coordinating with the Advertising Manager regarding client invoices, cheque deposits, etc.
  • Maintain a regular office presence and office hours, to be determined upon hire;
  • Other business duties as required.

Characteristics of a strong applicant include:

  • Experience in any responsibilities listed above;
  • Experience working with students or in an educational or not-for-profit environment;
  • Experience working with Quickbooks or other similar bookkeeping software;
  • Degree or diploma in business administration or similar, or in pursuit of one;
  • Organized;
  • Creative;
  • Flexible;
  • Time Management;
  • Resourceful;
  • Have initiative;
  • Positive attitude;
  • Computer Proficiency.

Other Important Information:

The position requires part-time work beginning as soon as late July 2022.
